Join the facilities department of a fast-paced downtown Minneapolis law firm.  We have an opportunity for an individual who enjoys working in a professional environment on a variety of tasks.  The Facilities Manager is responsible for managing the facilities function including equipment, facilities, and support services related to maintenance and service of building/office operations.   The Facilities Manager also handles project management including office relocation and expansion projects, assignment of office space, and lease compliance.  The salary range for the position is $70,000 - $95,000, based on years of experience.

In order to perform one (1) or more essential functions of this role, a minimum of three (3) days in the office is required.

Office Management Responsibilities (60%):

  1. Responsible for the physical delivery of office services, including office supplies,  office maintenance, moves,  purchasing and security.
  1. Responsible for smooth and efficient daily office operations.
  1. Develop and manage capital and operational budgets and tracking monthly expenses.
  1. Conduct cost analysis and vendor comparisons.
  1. Manage vendors to ensure supplies are well stocked and maintained.
  1. Maintain business relations with the property management offices.
  1. Provide support to multiple office locations from Minneapolis location.
  1. Supervision of receptionist and Service Center (third party outsource company).

Project management responsibilities (40%):
  1. Develop and maintain business relationships with vendors.  Request pricing bids and negotiate service.
  1. Coordinate with external contractors on special projects and/or construction projects.
  1. Monitor annual budget; process and reconcile all invoicing from vendors.
  1. Responsible for disaster recovery planning, ADA and other environmental concerns to promote a safe and secure environment for employees. 
Knowledge, Skills and Abilities Required:
  • Bachelor’s degree preferred (Business Management, Administration, Communications) or equivalent experience (customer service, scheduling, project management, communication in a corporate setting)
  • Law firm experience helpful in understanding the environment
  • Supervisory experience with vendors and/or employees preferred
  • Knowledge of Microsoft Office Suite (Word, Excel, Outlook)
  • Analytical thinking that incorporates creativity and innovation
  • Self motivated team player
  • Outstanding attitude and interpersonal skills, with a strong commitment to service
  • Flexibility and comfort with change and ambiguity
  • Ability to organize and prioritize numerous tasks
  • Exceptional attention to detail
  • Ability to lift boxes and packages weighing up to 50 pounds on a frequent basis (occasional lifting/physical work)
  • Potential emergency or after hours responsibilities as emergencies arise
  • Travel required based on projects (up to 10%)
  • Regular attendance at work
